Billing and Refund Policy

North Pine Care LLC does not sell anything through this website and takes no payments online. This policy explains how services are paid for and how we handle billing corrections and refunds.
Payment sources
- MaineCare. For clients covered by MaineCare, including applicable waiver programs, we bill MaineCare directly for authorized services. Covered clients are not charged for authorized covered services.
- Private insurance. Where a plan covers personal care services, we bill the plan for the authorized amount. Any deductible, copay, or non-covered amount is the client's responsibility and is explained before services begin.
- Private pay. Hourly rates are quoted in writing and stated in the service agreement before care starts.
No hidden fees
We do not charge sign-up fees, assessment fees, administrative surcharges, cancellation penalties, or travel fees unless that charge is written in your service agreement and agreed to in advance. Rate changes are provided in writing before they take effect.
Billing corrections and refunds
- If you believe an invoice is wrong, contact us within 30 days of the invoice date. We will review the visit records and respond in writing.
- Any amount billed in error, including a visit that did not occur or hours that exceed the time actually worked, is corrected and refunded or credited within 30 days of the correction.
- Prepaid private pay hours that are not used are refunded on request when service ends, less any hours already provided.
- Refunds are issued by the same method the payment was made whenever possible. Amounts paid by MaineCare or an insurer are returned to that payer, not to the client.
Ending services
You may end services at any time. You are responsible only for care actually provided through the end date. There is no termination fee.
